How to choose the right Event Technology at the events you organise.

As a supplier of EventTech to the Meetings & Events Industry, we have assisted at thousands of events over the last 40 years. It is an understatement to say that technology has changed hugely over that time and it’s really exciting to see how things have progressed.

Whereas before the barrier to entry for new suppliers of Event Technology was quite high (we all had proprietary hardware for example), the internet and the smartphone have meant basically anyone with an idea and a website can launch a new service.

This is great news for the Event Manager as it means the choice of different solutions is now massive. However, we admit it can get confusing with lots of competing messages demanding the attention of the beleaguered buyer.

So here is some simple advice which we hope helps you get the right solution for each and every event you organise.

Define

Before you start looking at technology, define the objectives of the meeting:

  • Why are you holding the event?
  • What are you trying to achieve?
  • Who is coming?
  • How tech-savvy are they?

Consult

Consult with your EventTech suppliers in the run up to the event. Allow them to help you shape how you use their solutions to ensure best use in line with your meeting objectives. Make sure you look at GDPR and how you are exchanging data with them. Do your delegates need to consent to you sharing data with them?

Focus

Focus on the attendees, don’t let the technology dominate. Meetings aren’t about technology. Meetings are about people.

Check

Use your technology suppliers or AV crew to check the WiFi of the venue and any other technical aspects - they are techies after all!

Evangelise

If you’re using an Event App, evangelise. Get as many people to download it or sign up to it as possible before they get to the venue. Also ensure the security of the Event App matches your requirements. For example, can anyone download it? Is it password protected? What happens to the data?

Involve

Involve your presenters with your choice of EventTech so that they are aware of the tools and options available to them. Offer them advice and training, and ask your suppliers to provide tips and tricks. If you can, organise a demo session before the event starts for the presenters so that they can see how easy it is to use. Make sure you answer any questions they may have to ensure they are confident using the tech on the day.

Analyse

Afterwards, make time to look at the information generated during the event. There will be wonderful insights in there that will hopefully justify this meeting and the next.
